How to build an AI workflow for blog creation: the source material it can use, the rule for missing facts, and where human review sits before you publish.
An AI enquiry workflow should produce a checked draft, not a sent reply. It reads the enquiry, drafts from your own source material, flags what the customer left out, and stops before any price, date or commitment. Here is the part most builds miss: the step that files an enquiry as needing no reply
Two decisions keep an AI proposal draft inside your approved scope and price: what the workflow is allowed to read, and what it does when a fact is missing. Tier your material into committed facts reproduced word for word, deal facts restated but never extended, and the prose you wanted written. The

Build your first AI workflow in five steps: describe the job, write the five inputs, run one safe example, check the draft against your own material, then fix one input at a time.
The five inputs are Context, Task, Source, Rules and Output. Here is the complete method: what each input does, the three jobs Rules performs, and a worked example that takes one site visit from a blank page to a prompt you and your team can run again.

A testable rule for where human approval belongs in an AI workflow, which steps can run unsupervised, and the two steps most owners gate wrongly. Brenden House, Sunshine Coast AI Workshops.
Automation means approving rules once. An AI assistant means approving each output. An AI agent means approving permissions you never see used one by one.
A follow-up draft may restate what your business already agreed: job status, the next action, dates and figures already in writing. It must never introduce a new price, deadline, inclusion or offer. Here is the rules block that holds that line, why an accepted quote makes a restated figure consequen
Customer onboarding isn't one welcome email. It's four drafts in a fixed order: the confirmation, the information request, the what-happens-next explanation and the first check-in. Turn discovery call notes into CRM fields without inventing any of them. The five inputs, the field-by-field write modes, the review step, and where Australian call-recording consent law actually lands.
An extracted field that's wrong still looks like a fact. How to name the fields you need, check values against the source document, and choose which documents are worth processing.
Sorting, drafting and thread summaries all work now. What decides whether an AI email workflow helps is whether your business has agreed what the categories mean, what the approved answer to each repeated question is, and who keeps it current. A roofing owner's guide to the first AI workflow worth building, the Queensland quote and contract limits around it, and why learn it with Brenden House on the Sunshine Coast.
Most AI sold to roofers covers the two ends of a job and leaves the paperwork in the middle. Here is what to buy, what to build on your own notes and price list, and where Queensland's quote, contract and variation rules put the line a person has to hold.
Queensland plumbing and electrical paperwork splits in two. See which documents an AI workflow can draft from your own notes and price list, which ones stay with the licensed person, and which training format fits.
Train your agency team on the jobs they repeat: vendor updates, listing copy, enquiry replies and arrears messages. You build the workflow on your own material, and the licensed agent still approves what goes out. A full day in person on the Sunshine Coast, or private onsite training for your team.
Which AI training fits an accounting or bookkeeping practice, what it has to cover, the first task to bring, and where the professional boundary sits.
Five allied health practice tasks AI can draft, from referral intake to recall messages and the administrative shell of plan paperwork, plus where the clinical line sits under Ahpra, OAIC and TGA obligations. A full day in person at Mooloolaba, A$495 excluding GST per person.
Quotes, replies and reports keep coming back to your desk. You want the first draft done faster, without handing a customer something you have not checked. Start with the jobs your business repeats, write the five inputs for it, and test the workflow on a safe example before you choose a platform. We build training around your business tasks, source material and the output you need, and we work with business owners and teams across industries.
Anything that helps you turn repeated work into instructions and systems your business can run again. We teach business owners and teams how to use AI on the work their business repeats.
Workflow automation means building systems that handle repetitive tasks 4. AI uses machine learning to build systems and products that help people get more done 5. An AI automation workflow tool is a platform that connects your everyday tools with an LLM so those tools gain AI functionality 6. AI workflow automation adds intelligence and adaptability to processes that were previously rigid and rule-based 7.
Your instructions matter more than your platform. A written workflow you can hand to another person, or paste into a new tool next year, is the part you keep.
Judgement and drafting on top of the steps you already move by hand. AI can draft quotes, replies, reports and admin documents from information you supply. You check the work before it reaches a customer.
Inside an automated workflow, you can extract data, generate text, summarise content or analyse information 8. You can connect apps like Gmail, Slack, Google Sheets or Notion and add AI reasoning on top of them 9. Traditional automation moves data between apps. These tools let you process, analyse and make decisions with that data using AI 10. AI agents understand requests in natural language, reason through complex processes and act across systems to complete tasks end to end 11. That covers workflows spanning departments and applications, from IT and HR to sales and finance 12.
The one that wastes your time every week and that you already understand well enough to mark a bad draft. Your business task determines the training example, and we help you build and test a workflow you can use again.
Pick a specific piece of work: a quote from one site visit, a reply to one customer question or a weekly update for one property. Bring the information needed for that task. A task you can describe in a sentence, with source material you can put on the table, gives you something to test against. A vague ambition to "use AI for marketing" gives you nothing to check.
Write five inputs: Context, Task, Source, Rules and Output. They describe the job and give you a basis for checking the draft.
A quoting example reads like this. We're a service business preparing a quote for a homeowner. Turn the supplied site notes into a draft quote. Use only these notes, measurements and the attached price list. Itemise labour and materials. Keep the supplied prices unchanged and flag missing information. Return a scope summary, itemised table, total including GST and questions for me to check.
Write the five inputs before you add your source material. Once they are written, you have instructions you can run on next week's job.
Read it against your source material, line by line. You check the output against the information your business supplied.
Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays within your scope. The person responsible for the work approves the final version.
When the draft states something your source does not support, point to the unsupported claim. Supply the missing fact, or ask the assistant to leave it as a question for you. Check the next draft for the same problem. That loop is what turns a first attempt into instructions you trust.

It understands conversational requests and turns them into automated actions within Salesforce 26. It interprets intent, analyses context and executes workflows without requiring users to learn coding or complex syntax 27.
Power Automate suits organisations invested in the Microsoft ecosystem, with tools for both citizen developers and IT professionals, covering everything from simple notifications to complex business processes across multiple systems 28. A Reasoning Engine works out what employees need, pulls up the right information and takes action across various business systems with little to no human intervention 30. One platform runs sessions in the cloud across web, desktop and mobile, keeps a persistent memory of your projects, and coordinates sub-agents to split a big job into parallel tasks 31. Another is a full AI agent builder that automates any workflow using frontier or open-weight models 32.
Pipedream offers process mining and task analysis to identify automation opportunities, plus development environments for building simple or complex workflows 33. Those features automate complex processes beyond traditional RPA, which suits global organisations scaling from basic RPA to intelligent workflows 34. Vellum AI has features for deploying complex agents 35 and runs end to end for development and IT teams as one of the more advanced workflow automation platforms available 36. StackAI is a complete end-to-end platform for deploying AI agents 37.
None of that helps until someone has written down the task, the source material and the check. Start there.
