Start with the task that wastes your time and comes back every week. Your business task determines the training example, so the instructions you write depend entirely on what you choose here.

Pick a specific piece of work rather than a category. A quote from one site visit. A reply to one customer question. A weekly update for one property. Then bring the information that job needs: the notes, the measurements, the price list, the file you would normally open first.

Choose an example you are comfortable working on in front of others. A safe task example keeps customer details and commercial figures out of the room while you build.

What goes into the five inputs: Context, Task, Source, Rules and Output?

The five inputs are Context, Task, Source, Rules and Output. Together they describe the job and give you a basis for checking the draft. Write them before you add your source material.

• Context describes the business, customer and situation.
• Task names the job the AI assistant needs to do.
• Source supplies the notes, documents or approved facts for that job.
• Rules set the limits and identify missing information to flag.
• Output describes the format and information the finished draft needs to contain.

A quote workflow reads something like this. We're a service business preparing a quote for a homeowner. Turn the supplied site notes into a draft quote. Use only these notes, measurements and the attached price list. Itemise labour and materials, keep the supplied prices unchanged and flag anything missing. Return a scope summary, an itemised table, a total including GST and a list of questions for me to check.

Written that way, the last input tells you what a finished draft looks like before the assistant produces one.

How do you test the workflow and check the draft?

Run the instructions on your safe example, then check the output against the information your business supplied. Participants in our sessions test the workflow on a safe example and check the result against their source material.

Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays inside your scope. The person responsible for the work approves the final version.

Keep your test data stable while you refine the instructions. In n8n, pinning a node saves that node's current output data 3, so you are not regenerating the same data on every run 4. A tick icon appears on the node when pin data is not enabled 5. The tool also shows a preview of the final prompt message before it runs 6.

What do you change when the first draft gets something wrong?

Change the input that caused the problem, not the whole prompt. Rules set the limits and identify missing information to flag, so most corrections land there or in Source.

When the draft invents a detail, point to the unsupported claim. Supply the missing fact, or ask the assistant to leave it as a question for you. Check the next draft for the same problem.

When the draft wanders, state which question the reply needs to answer. Ask for the facts that resolve it and remove background the customer did not request.

When the format is wrong, rewrite Output. Name the sections, the table columns and the totals you expect to see.

Do you need an automation tool to build your first AI workflow?

No. Your written instructions are the workflow. An automation tool moves it between systems later.

If the job includes several stages, choose the drafting step first. You can build the instructions for that step without connecting every system in your business.

When you do reach for a tool, that layer brings its own decisions. n8n tutorials describe three types of trigger 1 and a set of predefined actions 2.
