Microsoft Copilot workflows let you describe that task in plain English and have it run for you. The agent uses your Microsoft 365 account to connect to services like Outlook, SharePoint, Teams and Planner, so what your account, admin settings and data rules allow decides what you can build. 1 2

What are Microsoft Copilot workflows, and what can they automate?

Workflows is an agent in Microsoft Copilot that helps you automate work across Microsoft 365 using natural language. 3 You describe the job in a chat, and the agent builds the automation.

It automates tasks in apps like Outlook, SharePoint, Teams and Planner. 2 It can trigger actions on a schedule, or in response to events. 9 It uses your Microsoft 365 data, such as calendar, tasks or lists, without writing code. 10

The connectors available are SharePoint, Approvals, Teams, Planner, M365Copilot and Outlook. 11 That list sets the boundary of what a Workflows agent can reach.

AI agents are a new type of workflow automation that function as AI assistants. 12 Unlike traditional automation, they adapt in real time to make decisions and adjust to changes as they happen. 13 A rule-based automation does the same thing every run. An agent reads what it is given and responds to it.

What does your Microsoft account need before Copilot can build a workflow?

To use Workflows Agent, you need to be part of the Frontier program. 4 Frontier includes early access to experimental features, which means features may change as Microsoft improves them. 14 Plan for the buttons to move.

The Workflows agent uses your Microsoft 365 account to connect to these services. 1 It can only reach what your account can reach. If you can't open a SharePoint site, neither can your workflow.

Your admin sits above all of it. Admins control Workflows availability using Microsoft 365 app management settings. 5 Administrators manage the Workflows agent in the Microsoft 365 admin center under Copilot > Agents. 15 The agent respects tenant-level settings configured in the Microsoft 365 admin center and Power Platform admin center (PPAC). 16

Two pieces need attention inside Power Platform. AI prompt is a feature that needs to be enabled in the Power Platform admin center for the environment. 17 AI actions is a connector in Power Platform. 18

One more constraint before you start: Workflows is available only in English. 19

Where does your business data sit when Copilot runs a workflow?

Workflows follows the same governance and compliance rules as other Microsoft 365 apps. 20 Your existing controls carry over.

All workflows created in the tenant through Workflows Agents are located in a special purpose environment in the tenant called the Microsoft Copilot workflows environment, in the tenant's geographic location, unless you want to geo-to-geo migrate. 21 An Australian tenant keeps its workflows in the Australian geography by default.

By default, the Microsoft Copilot Workflows environment allows only the connectors required to ensure full functionality in Workflows agents. 22 Your tenant specific data policies don't impact the Microsoft Copilot Workflows environment. 23 Ask your admin about this one before you assume a company DLP rule is protecting a workflow.

System admins can follow the process for performing data subject requests (DSRs) for Workflows agents to run DSR export and delete. 24 They can also view Workflows Agents workflows created in the tenant in the Power Platform admin center Inventory. 25 Feedback collection, meaning thumbs up and thumbs down plus optional verbatims, is solely controlled by M365 for the Workflows agent. 26

Access controls and permission settings support secure collaboration, and activity logs help manage permissions and support compliance. 27 28

How do you turn one repeated business task into a Copilot workflow?

Write the task down before you type it into Copilot. The five inputs are Context, Task, Source, Rules and Output. Context describes the business, customer and situation. Task names the job the AI assistant needs to do. Source supplies the notes, documents or approved facts. Rules set the limits and identify missing information to flag. Output describes the format and information the finished draft needs to contain.

A quoting example reads like this. We're a service business preparing a quote for a homeowner. Turn the supplied site notes into a draft quote. Use only these notes, measurements and the attached price list. Itemise labour and materials, keep the supplied prices unchanged and flag missing information. Return a scope summary, itemised table, total including GST and questions for me to check.

Name the services you want. The Workflows agent identifies and connects to services based on the names you include in your prompt. 6 If it can't find a match, it may ask you to confirm or provide the Teams channel or SharePoint site. 29 Say "the Quotes channel in the Operations team", not "our team chat".

Once your workflow is created, you can test, monitor and manage it directly in the Workflow or Activity tab and the Workflows home page. 30 You test and manage workflows in a visual designer, 31 with drag-and-drop design tools for creating and updating them. 32 Prebuilt templates help teams simplify setup and start faster. 33 Workflows can also collect and save user input with adaptive cards in Teams, 34 which is how you get a person to supply a missing detail mid-run.

Which business tasks should you automate with Copilot first?

Start with the repeated task that produces a document or a message you already review. Pick a specific piece of work: a quote from one site visit, a reply to one customer question or a weekly update for one property. Bring the information needed for that task. If the job includes several stages, choose the drafting step first. You can build the instructions for that step without connecting every system in your business.

Common patterns include task routing, notifications, alerts and updates. 35 A virtual agent routes incoming customer service requests, creates case records and suggests responses based on past cases. 36 AI analyses expense reports to flag anomalies or duplicates and triggers workflows. 37 AI reviews internal team project requests for information, duplicate entries and missing fields. 38

What can Copilot workflows not do yet?

Four limits shape what you build. You can't share workflows created in Workflows. 7 Workflows can't fix errors in existing workflows automatically. 8 Because Workflows relies on natural language input in chat to specify locations like SharePoint sites or Teams channels, it might occasionally identify the wrong site or channel if the names are ambiguous or similar. 39 And it is a cloud service, so it doesn't cover the case where an organisation keeps data and systems within its own infrastructure. 40 That on-premises pattern is often used by organisations that need more control and security, including those in highly regulated industries, 41 and it supports legacy systems and custom internal platforms. 42

You stay responsible for the output. Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays within your scope. The person responsible for the work approves the final version.

When the draft states something your source doesn't support, point to the unsupported claim. Supply the missing fact or ask the assistant to leave it as a question for you. Check the next draft for the same problem.

Because you can't hand a workflow to a colleague, the written instructions matter more than the automation. We help your team agree on the source material, instructions and review process for a repeated task.
