What is an AI document request workflow in an accounting firm?

It is a set of written instructions that turns your missing-item list into a drafted client request, ready for a person to check and send. AI can draft requests, replies, reports and admin documents from information you supply. You check the work before it reaches a client.

Accounting firms run on recurring work. 5 Monthly bookkeeping, payroll reviews, VAT or sales tax processes, management reporting, year-end accounts and client follow-ups all happen on a rhythm. 6 An engagement is a sequence of requests, reviews and sign-offs. 7 A tax return is an intake, a preparation step, and a partner approving before anything goes out. 8

How do you record the missing-document list the request will be built from?

Start with the signals already sitting on the job, and write them down as a list. AI can monitor the signals around that job. 16 It can check for missing documents, unreconciled transactions, unapproved questions, failed integrations, outstanding client requests, or a review task that has sat untouched for too long. 17

Based on the client calendar, the workflow opens the month-end job and checks that bank, AP, AR and payroll feeds are available. 18 It checks data connections and identifies missing inputs before the close begins. 19 If a feed is stale or a key document is missing, it triggers the client request or internal escalation according to your rules. 20

Your rules can also carry what you already know about the client. Job history shows what usually causes delays for that client, and the workflow can adjust accordingly. 21 If the job includes several stages, choose the drafting step first. How do you write the five inputs for a document request prompt?

Write Context, Task, Source, Rules and Output before you paste in a single client document. The five inputs describe the job and give you a basis for checking the draft.

For a document request, Context says you are an accounting firm writing to a monthly bookkeeping client. Task says to turn the missing-item list into a client email. Source is that list, the prior-period request and the client's service level. Rules say to use only the supplied items, keep the wording plain, and flag anything you cannot confirm. Output says to return a short opening, an itemised list of what you need, the deadline, and a set of questions for you to check.

What should the drafted client request contain before you send it?

Everything the client needs to act once, with no second email required. The draft names each missing document, says what period it covers, and states the date you need it by.

The workflow reads the source documents, suggests the codings, drafts the variance commentary, and chases the missing items. 22 On a tax job, it collects client documents, prefills the organizer from last year's return, and chases the missing pieces, so the preparer opens a complete file instead of hunting across email, a portal and three formats of the same form. 23 On an engagement, it routes the engagement letter, generates a first-draft PBC list from the prior year, and tracks document requests as they come back. 24

Who checks the draft, and what do they check it against?

The person responsible for the work checks it, against the information your firm supplied. The model extracts and drafts; people own the numbers and the sign-off. 4

Compare names, dates, figures and claims with your source. Recalculate any totals. Check that the draft asks for the items on your list and nothing else. If the draft states something your source material never said, point to the unsupported claim, supply the missing fact or ask the assistant to leave it as a question for you, then check the next draft for the same problem.
