AI workshops for plumbing and electrical businesses: what can AI draft, and where does your licence take over?

Your paperwork splits in two, and only one half is a drafting job. A quote, an invoice description, a customer update, an after-hours reply: those carry your words, and an AI workflow can draft the first version from your own site notes and price list. A certificate of testing and compliance carries a licence number, and the electrical contractor whose licence it was tested under issues it 1, so no drafting tool changes that. Which plumbing and electrical paperwork should you hand to AI first?

Start with the document you produce most often from information you already hold, where a person still signs before it leaves the business. For most plumbing and electrical businesses that is the quote written up after a site visit.

Rank the rest by how often it repeats and how much of it you are rewriting from scratch every time.

Each of those is drafting work, and the pattern repeats across the other industries we work with, because a priced document assembled from approved inputs behaves the same way whether it is a switchboard upgrade or a property management report.

Safety paperwork sits in a different category. One of the Australian trades AI providers ranking for this subject sells SWMS, JSA, toolbox talk and incident report drafting as a package 5, and those documents carry their own duty holders under work health and safety law. A full-day session on one repeated task does not cover them.

In Queensland, the quote you send is the contract you are held to

The QBCC puts it plainly: once a quote is accepted, in writing or even verbally, it becomes a legally binding contract. 2 That single sentence changes what a quoting workflow has to be good at. Speed is the smaller half of the problem. The bigger half is that the figures in the draft become the figures you are bound to.

Above a threshold, the paperwork itself is regulated. A written contract is required for domestic building work priced over $3,300 including labour, materials and GST, and to be valid it has to be in writing, signed and dated by each party, and compliant with Schedule 1B of the QBCC Act. 3 The QBCC's own definition of domestic building work includes renovating, extending, altering, improving (including installing services) or repairing a house, duplex or unit, and refitting a kitchen or bathroom. 3 A bathroom refit, a kitchen rough-in or a switchboard upgrade on an existing home can land inside that description, so whether a given job class is in scope is a question to settle with the QBCC or a lawyer for your own work rather than something to infer from a website. The consequence of getting it wrong is not theoretical. A contractor who does not use a compliant written contract commits an offence, and the QBCC may issue fines, prosecute, take disciplinary action and apply demerit points, which can lead to loss of licence. 3

So the constraint set does the real work in a quoting workflow.

The five inputs are how you build that constraint set. Context, Task, Source, Rules and Output each do a job, and in a licensed trade the Rules input carries most of the weight. Rules is where you say that the supplied price list is the only pricing authority, that call-out and travel charges apply only where your own rules cover them, and that anything the notes do not establish comes back as a flagged question instead of a plausible number. Source is where the price list and the job notes go, and the instruction to use nothing else.

I build priced documents this way in my own business. It is a document with money in it, assembled from material that was approved before the draft started. Get the approved material and the limits right and the draft comes back in a shape you can check quickly. Leave them loose and you get confident prose with invented figures in it, which in a trade context is worse than a blank page.

How do you get a variation written down when it was agreed standing in a laundry?

You capture it at the moment it is agreed, in whatever form is quickest on site, and the office turns that capture into the variation document the same day.

The timing is not generous. The variation must be given in writing before the variation work begins, and it has to be sent within five business days of the customer's agreement or before work starts, whichever comes first. 2 The contractor must not start variation work before the owner agrees to the variation in writing. 4 The document itself has to be dated and signed by the contractor, describe the variation, and state the change to the contract price or the method for calculating it and when that change is paid or credited. If the variation is likely to delay completion, it also needs the contractor's reasonable estimate of the delay. 4

The QBCC names the consequence directly. Failing to properly document variations is one of the most common causes of building disputes. 2

The failure is rarely forgetfulness. The customer says yes while you are standing in their laundry with a torch, you get on with it, and the document that had to exist before the work started gets written up on Sunday night from memory, if it gets written at all. The bottleneck is the trip from the job to the document.

That trip is a drafting job, and it is the highest-value one in a plumbing or electrical business. Three spoken sentences at the job become a draft variation with the description, the price change, the payment timing and the delay estimate laid out in the right fields, plus a short list of what is still blank. Then a person reads it, fills the gaps and sends it. The AI does not decide whether a variation is fair, and it cannot give you the owner's written agreement. It gets the document to the point where sending it happens on the day it was agreed instead of the following weekend.

Compliance certificates stay with the licensed person

Certification is not a drafting job. Electrical contractors, and workers completing work on behalf of an electrical contractor, must give the customer a certificate of testing and safety for work on electrical equipment, or a certificate of testing and compliance for electrical installation work, as required under the Electrical Safety Regulation 2013. 1 The certificate has to be given as soon as possible after the work is complete, and it must state the name and address of the person the work was performed for, the details of the equipment or installation tested, the day it was tested, and the electrical contractor licence number it was tested under, along with a certification statement that the work has been tested and is electrically safe. 1

Two details from the Electrical Safety Office change how you would build around it. The required information can sit on the customer's invoice instead of a separate certificate, as long as the invoice meets the regulation and you keep a copy. 1 And the licensed electrical contractor has to keep that copy for at least five years after giving it to the customer. 1

Plumbing has its own registration chain. Notifiable work must be registered with the QBCC within ten business days of issuing an invoice for the work, using Form 4 for private persons and businesses or Form 4a for public sector work, and a copy of that notice goes to the owner of the premises or to whoever engaged the plumber or drainer. 6 Installing or replacing a water heater, whether electric, gas, solar or heat pump, is one of the named examples. 6

Read those requirements as a set of fields and a deadline, and the AI job becomes obvious. A workflow can take the job record and produce the description of what was installed, prompt for each piece of information a certificate has to state, and make sure the invoice that doubles as the certificate is filed where it can be found in year four. It does not test anything, it does not certify anything, and it does not sign. The licence number belongs to a person, and the testing statement is that person's statement about work they did or supervised.

A self-paced course ranking on the first page for this search teaches its students to research code questions with AI prompts, and the codes it names are the NEC and the IPC. 7 Those are United States codes. The Queensland obligations above come from the Electrical Safety Regulation 2013 and the Plumbing and Drainage Regulation 2019, and a course built for another jurisdiction will not tell you when a Form 4 is due. To be fair to that provider, their own material says AI is a research assistant rather than a replacement for your expertise 7, which is the right instinct pointed at the wrong rulebook.

The boundary I keep in my own work is prepare and revise, never release. An assistant with real access to the business's context can pull together a bounded piece of work and hand it back. The authority to send it, sign it or transact on it stays with a person. In a licensed trade that boundary is already drawn for you by the regulation, which makes it a good place to start.

What does the handover from the van to the office actually look like?

It looks like a short capture at the job and a draft already waiting when the office opens the file, with the gaps named on the draft itself.

The trick is deciding what to capture. The instinct is to record everything, and then nobody reads it. The better question is which piece of information changes the next document. At a hot water replacement that is the unit that came out, the unit that went in, the isolation and valve work, the travel, and anything found outside the quoted scope. That one capture feeds the invoice description, the notifiable work detail and the customer update. Three documents from one set of facts, and the capture takes about as long as a voice memo.

I have watched this chain from the inside. The trades differ in what the office needs, and the gap between the person on site and the person producing the document is the same gap everywhere.

Because it is the same gap, the quote build itself is already written out. It cannot promise an arrival time, quote a price or offer a diagnosis, because the person who would stand behind any of those is asleep. How do you check a trade draft before it goes to the customer?

You check it against the material your business supplied, in a fixed order, every time.

1. Prices. Compare every rate and part reference against the price list you gave it, then recalculate the total including GST yourself.
2. Scope. Compare the draft with what the customer asked for and what the tradesperson actually found, and keep completed work separate from work still being quoted.
3. Technical wording. The responsible tradesperson reads any technical or compliance statement and signs it. No draft states a compliance outcome on its own.
4. Gaps. Anything the workflow flagged as missing stays flagged until a person answers it. A flagged gap that gets quietly filled in by the next draft is the failure mode to watch for.

The order matters because the cheapest errors to catch are the arithmetic ones and the expensive ones are the scope ones. Checking AI output sets out the general version of this routine, and in a trade business the fourth step is the one I would guard hardest.

What to look for when you compare AI training for a licensed trade

Judge a provider on which of your documents you build, whose figures it runs on, and which obligations the trainer can name without looking them up.

A provider who cannot answer the third question is selling you faster drafts of a document they have not read.
