Anthropic describes Claude for Small Business running inside the tools owners already rely on, such as QuickBooks, PayPal and HubSpot, and taking on the work that piles up after hours, like planning payroll, chasing invoices or starting a marketing project. 7 From those tools it can plan payroll, close the month, run a sales campaign and chase invoices. 8 We work with business owners and teams across industries, so the workflow you build is the one your business actually repeats.

Start with the task that wastes the most of your time and produces the same shape of output every time. Your business task determines the training example, so we build training around your business tasks, source material and the output you need.

Pick a specific piece of work: a quote from one site visit, a reply to one customer question, or a weekly update for one property. Bring the information needed for that task. If the job includes several stages, choose the drafting step first. You can build the instructions for that step without connecting every system in your business.

How does Claude connect to the tools your business already uses?

How do you write instructions Claude can run on a repeated task?

Write the job as five inputs: Context, Task, Source, Rules and Output. Context describes the business, customer and situation. Task names the job the assistant needs to do. Source supplies the notes, documents or approved facts for that job. Rules set the limits and identify missing information to flag. Output describes the format and information the finished draft needs to contain.

We're a service business preparing a quote for a homeowner. Turn the supplied site notes into a draft quote. Use only these notes, measurements and the attached price list. Itemise labour and materials. Keep the supplied prices unchanged and flag missing information. Return a scope summary, itemised table, total including GST and questions for me to check.

Write the five inputs before you add your source material. The source material is what makes the draft sound like you wrote it, because Claude uses the client's name, the project name and the exact amount. 18

  • Invoice follow-up: every Monday, Claude scans a Notion invoices database, drafts personalised follow-up emails for anything overdue with tone adjusted to how late it is, and sends thank-you emails for anything just paid. 19

  • Weekly planning: every Sunday at 8pm, Claude audits last week's posts, plans the full coming week across LinkedIn and X, writes every post in your voice, designs the visuals and queues everything in Notion. 22
  • Enquiry triage: a new enquiry lands in Gmail. 23 Claude enriches the company, scores the lead against your ICP, drafts a personalised reply if they're a strong fit or a polite decline with referrals if they're not, and logs everything in Notion CRM. 24
