Human Approval in AI Workflows: Which Actions Should Stop for a Person?

A friendly pencil-drawn robot with a soft rounded body and warm expression welcomes you beside working papers and a yellow pencil.

You've tried AI on a repeated job and the drafts are close. Now you need to decide where a person has to sign off before anything leaves your business. Require human approval on any step that sends, publishes, pays or changes a record outside your business, and let the drafting steps run without it. You check the output against the information your business supplied. We help your team agree on the source material, instructions and review process for a repeated task.

Key takeaways

  • Stop the workflow at actions with outside impact: sending, publishing, paying or writing to a record. An assistant can propose a tool call such as sending an email, writing to a database or provisioning access, then wait for approval before it runs. 1 Drafting steps produce the email, response or report first and wait for you to approve or edit. 2
  • Runtime approval is a decision the agent must request and receive before it executes an action or finalises an output with real-world impact. 3 It stops unsafe or non-compliant actions in the moment and records who approved what and why. 4
  • Rules are one of the five inputs: Context, Task, Source, Rules and Output. Rules set the limits and identify the missing information the assistant must flag instead of deciding alone.
  • Test the workflow on a safe example and check the result against your own source material before you approve it.
  • Our four-hour Sunshine Coast workshop is A$495 including GST per person, capped at 15 paid attendees, with the date to be announced.

What does human approval mean in an AI workflow?

Human approval means a person decides before the work takes effect. A human-in-the-loop approval workflow is a runtime control pattern where an AI agent must request and receive a human decision before it executes a specific action or finalises an output that could cause real-world impact. 3 AI agents can draft, summarise and act on their own, and business workflows often need a human check before important content goes out. 5

This differs from human-in-the-loop in model training. 6 Training-time review is about labelling data and improving model behaviour over time. 7 Runtime review prevents unsafe or non-compliant actions in the moment, with traceability for who approved what and why. 4

For a small business the practical version is simple. AI drafts quotes, replies, reports and admin documents from the information you supply. You check the work before it reaches a customer. We teach business owners and teams how to use AI on the work their business repeats.

Which actions should need your approval before they run?

Approve anything that leaves your business or changes a record. That covers sending an email, writing to a database and provisioning access, where the agent proposes the tool call and waits before executing it. 1 It also covers drafted content such as an email, a policy response or a report, which a person approves or edits before it is sent or published. 2

Some actions deserve two separate approvals before execution. 8 A practical variant is two roles with one approval each, so the same person cannot approve both steps. 9 Payments and access changes suit that pattern.

Two points shape how you build the gate. Approval is not the same as execution. 10 Sensitive data shows up in two places in these workflows, in prompts and on approval screens, so decide what a reviewer needs to see. 11

Step in the workflow Needs your approval
Drafting a quote, reply or report No, it runs and waits for you
Sending an email to a customer Yes
Publishing content Yes
Paying an invoice Yes, and consider two approvers
Writing to a record or granting access Yes, and consider two approvers

If the job includes several stages, start with the drafting step. You can build the instructions for that step without connecting every system in your business. We used that approach on our own work: we automated Radiant Roof Repairs' internal processes with AI, we built AI workflows in Searchmaxxed for blog posts, SEO and custom proposals, and we automated SEO, enquiries and admin for Glen House Homoeopathy. Your business task determines the training example.

How do you write the approval rule into your AI instructions?

Write it under Rules. The five inputs are Context, Task, Source, Rules and Output. Context describes the business, customer and situation. Task names the job the AI assistant needs to do. Source supplies the notes, documents or approved facts for that job. Rules set the limits and identify missing information to flag. Output describes the format and information the finished draft needs to contain.

Your approval rule belongs in Rules because it is a limit on what the assistant may decide alone. Name the actions that stop for you. Tell the assistant to keep supplied prices unchanged, to flag missing information rather than fill the gap, and to stop at the draft rather than send. Output then describes the draft you review, including the fields you check first.

We build training around your business tasks, source material and the output you need, so the rule you write matches how your team already works.

How do you check an AI draft before you approve it?

Check the draft against the source material you gave the assistant. Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays within your scope. The person responsible for the work approves the final version.

When the draft states something your source does not support, point to the unsupported claim. Supply the missing fact, or ask the assistant to leave it as a question for you. Check the next draft for the same problem.

Run this on a safe example first. In our sessions, participants test the workflow on a safe example and check the result against their source material, so the review habit is set before real customer work goes through it.

How do approval steps work inside AI tools?

Approval steps pause the run and route the decision to a person. In Oracle AI Agent Studio, the Human Approval Node sits inside the workflow agent canvas as a pause-and-route mechanism. 12 It is a configurable, channel-aware gate that holds agent execution until a human says go. 13

The Human Approval Node supports two distinct interaction models. 14 In the first, Approve / Reject or Approve / Request Change buttons appear inline in the chat interface, with no email setup required. 15 The second suits asynchronous workflows where reviewers may not be in the application. 16 That model requires an approver email account configured under the Credentials tab. 17 It also adds timeout handling so the workflow does not wait indefinitely. 18

Other nodes in the workflow can reference the Human Approval Node's output attributes through context expressions such as {{$context.$nodes.NODECODE.$output}}. 19 That is how a later step knows whether the person approved.

How do you agree one approval process across your team?

Agree it on one repeated task, in one session, with everyone who touches that task in the room. We help you build and test a workflow you can use again, so the team leaves with the same instructions and the same review rules rather than separate habits.

We bring private AI training to your workplace. Private onsite AI training is available on the Sunshine Coast and in Brisbane, Gold Coast, Ipswich, Noosa, Moreton Bay, Logan, Redlands, Toowoomba and Gympie. Private sessions are scoped for roughly 4–20 people, and larger teams can be split across sessions. After your enquiry, we discuss your team's tasks, location and experience. We agree on the training scope and prepare a fixed quote. Team size, session length and travel determine the price.

Our public Sunshine Coast workshop gives you four hours to work on one repeated business task. You build on your own laptop with hands-on help, and you keep the instructions and the example you tested during the session. People from other areas can travel to the Sunshine Coast public workshop.

Frequently asked questions

What is a human approval node in a workflow agent?

A human approval node is a pause-and-route mechanism embedded inside Oracle AI Agent Studio's workflow agent canvas. 12 It holds agent execution until a person approves, and it is configurable and channel-aware. 13 Other nodes read its output to decide what happens next. 19

Who are these AI workshops for?

Business owners and teams across industries. We teach business owners and teams how to use AI on the work their business repeats, including roofing, plumbing and electrical, real estate and accounting and bookkeeping.

Do you need technical experience to build an approval step?

No. You build on your own laptop with hands-on help. For private sessions we scope the training around your team's tasks, experience and location.

What should you bring to the session?

Bring the laptop you will use afterwards, your charger and a safe task example. Tool and account requirements are confirmed during scoping. You test the workflow on that safe example and check the result against your source material.

What kind of task should you bring?

Bring a task your business repeats. Your business task determines the training example, and Task names the job the AI assistant needs to do, so pick one job you run often enough to be worth writing instructions for.

What does the A$495 workshop ticket include?

A$495 including GST per person covers four hours in person on the Sunshine Coast, hands-on help and the written AI workflow you build.
