Check four things. Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays within your scope. Then the person responsible for the work approves the final version.

None of this works on a draft you cannot trace back to anything. You need a workflow you can check before its output reaches a customer, which means the assistant works from material your business supplied and you know what that material said.

How do you set up an AI task so the draft can be checked?

You write the five inputs before you add your source material. The five inputs are Context, Task, Source, Rules and Output. They describe the job, and they give you the standard you hold the draft to afterwards.

• Task names the job the AI assistant needs to do.
• Source supplies the notes, documents or approved facts for that job.
• Rules set the limits and identify missing information to flag.
• Output describes the format and information the finished draft needs to contain.

Written this way, checking stops being a matter of opinion. You asked for an itemised table and a total including GST, so the draft either has them or it does not. You named the source, so any fact outside it is a fact to remove or confirm.

How do you check the claims and facts in an AI draft?

Read the draft with your source open beside it. Every name, date, figure and claim in the draft needs to appear in the material you supplied. Anything that does not appear there is unsupported, however confident it sounds.

When you find one, point to the unsupported claim. Supply the missing fact, or ask the assistant to leave it as a question for you. Then check the next draft for the same problem, because a claim you removed once can return in the same spot.

Claims about warranties, timeframes, inclusions and obligations deserve the slowest reading. Those are the sentences a customer holds you to.

How do you check calculations, prices and totals?

Recalculate every total yourself. Then confirm the line items match the prices you supplied, because a price the assistant adjusted is a price you did not agree to.

Rules set the limits and identify missing information to flag, so write the money rules into the instructions before you run the task. Keep supplied prices unchanged and flag missing information. A draft that flags a gap gives you a decision to make. A draft that fills the gap gives you a number to defend.

The questions at the end are part of the output. They tell you where the assistant had nothing to work from.

How do you check what the draft proposes to send or do next?

Check the draft against the request it answers. A reply that is accurate and still does not answer the customer's question is a reply that starts another email.

State which question the reply needs to answer. Ask for the facts that resolve it and remove background the customer did not request. Then check any next step the draft proposes, such as a site visit, a deposit or a date, and confirm it sits inside the scope you agreed to.

What can an AI detector tell you about a business document?

An AI detector tells you how the writing patterns look. AI detectors work by looking for patterns in text that are more likely to have been written by a machine than a human. 2 They use machine learning models to recognise patterns that distinguish AI-generated content from human writing. 3

The result is a probability. AI detectors estimate the likelihood that the text was AI-generated. 4 Some AI tools embed hidden markers in their output, which detection models can identify. 5

That is a statement about style and signals. It says nothing about whether your total is correct or whether the scope matches the site notes.

Where do AI detectors fall short for business checking?

They cannot settle the question they are pointed at. AI detectors can help assess whether text appears to be AI-generated, but no AI detector can conclusively or definitively determine whether AI was used to produce text. 1 Lightly edited AI-generated text may evade detection. 6

The methods also weaken as the models improve. Pattern-based detection is less effective for advanced AI models that can generate highly varied outputs. 7 Accuracy improves with longer inputs, with document-level results stronger than paragraph or sentence-level, and is strongest on English prose. 8 A short quote email is exactly the kind of text these tools handle least well.
