The mechanism is straightforward. Which of your business documents belong in the knowledge base first?

Start with the documents that answer the questions your team fields most often. Your business task determines the training example, and Source supplies the notes, documents or approved facts for that job.

Pick a specific piece of work: a quote from one site visit, a reply to one customer question, a weekly update for one property. Then gather only what that task needs. If the job runs through several stages, take the drafting step first. You can build the instructions for that step without connecting every system in your business.

An AI-powered knowledge base draws on numerous sources: blog content, FAQs, policy documents, community forums and more. 22 Standard operating procedures earn a place early, because many departments already have SOPs describing how to complete common processes. 23 Quality decides the result. AI knowledge bases need high-quality source content to work effectively. 3 One approved current version of a document beats four drafts of the same thing.

How do you write instructions that keep AI answers tied to your source material?

You write instructions that name the source and set limits on what the assistant may produce without it. The five inputs are Context, Task, Source, Rules and Output.

Context describes the business, customer and situation. Task names the job the AI assistant needs to do. Source supplies the notes, documents or approved facts for that job. Rules set the limits and identify missing information to flag. Output describes the format and information the finished draft needs to contain.

Write the five inputs before you paste your source material in. They describe the job and give you a basis for checking the draft afterwards. The Rules input carries most of the weight for a knowledge base. It tells the assistant to answer from the supplied documents, to leave a gap as a question rather than filling it, and to keep quiet on anything your sources do not cover. That is what makes an answer traceable back to a document you approved.

How do you check an AI answer against the information your business supplied?

You read the draft next to the source and match it line by line. You check the output against the information your business supplied.

Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays within your scope. The person responsible for the work approves the final version.

When the draft states something your source does not support, point to the unsupported claim. Supply the missing fact, or ask the assistant to leave it as a question for you. Check the next draft for the same problem. Participants in our sessions test the workflow on a safe example and check the result against their source material, which is where most gaps in the instructions show up.

How do you keep the knowledge base current once staff start using it?

You keep it current by reviewing what the assistant is asked and updating the documents behind those answers. AI-powered tools are not static; they learn and adapt from user interactions. 24 Content gets updated, refined or created based on user interactions, feedback and data analysis. 6

AI algorithms assist with content management by identifying content gaps, detecting outdated resources and suggesting new topics from customer feedback and ticket requests. 5 The system can detect a spike in specific customer requests, such as asking for help with password resets over live chat. 25 It can then flag content management teams and recommend creating knowledge base articles on that topic. 26 Algorithms can also suggest relevant materials to support agents, recommend articles within tickets and help with writing content. 27

Keep the instructions you built and the example you tested. Run them on your next quote, reply or report, and check the draft before you send it. That check is also your review cycle: every gap you find is a document to update.

Who should be able to see each part of your staff knowledge base?

Access follows the work. Marketing uses different data and systems than sales, finance and HR. 31 Each team needs the sources for its own tasks, and not every team needs every document.
