You write the same social caption, the same review reply and the same quote every week, and each one starts from a blank screen. A workflow ends that. You build an AI workflow for local business content by choosing one repeated content task, writing the five inputs for it, giving the assistant your own notes and local details as source material, then checking the draft against that source before it reaches a customer. Our public Sunshine Coast workshop gives you four hours to work on one repeated business task, and we work with business owners and teams across industries.
Key takeaways
- An AI content workflow goes past trigger-and-action automation. It reads context, summarises information, categorises requests, drafts content and makes routing decisions before passing work to the right person or system. 12
- Start with the repeated jobs that already have source material behind them. AI can analyse a product photo and generate platform-specific captions for Instagram, Facebook and LinkedIn in your brand's voice and style, and it can draft personalised responses to positive and negative reviews in your preferred tone, then publish them or send them to a team member for approval. 34 Your business task determines the training example.
- Five inputs turn a repeated content job into instructions you can run again: Context, Task, Source, Rules and Output.
- Test the workflow on a safe example. Check the output against the information your business supplied, including names, dates and figures.
- The public Sunshine Coast workshop runs four hours at A$495 including GST per person, capped at 15 paid attendees, with the date still to be announced.
What is an AI workflow for local business content?
An AI workflow is a series of connected steps that completes a business process, with an AI assistant doing the reading, drafting and sorting inside those steps. 5 AI workflow automation uses artificial intelligence to complete routine tasks that sit inside your everyday business processes, so you stop copying information between apps, sorting requests and drafting the same responses over and over. 67
Traditional automation waits for a trigger, the event that starts a workflow, such as a customer submitting a contact form. 8 It then performs an action, the task that follows the trigger, such as creating a CRM contact or sending a follow-up email. 9 A webhook lets one app send information to another the moment a specific event occurs. 10 When one event happens, the software performs a predefined task, such as sending form submissions to a spreadsheet. 11
AI automation goes further than that. 1 It understands context, summarises information, categorises requests, drafts content and makes routing decisions before passing work to the right person or system. 2 That is the part that matters for content, because a caption or a quote needs judgement about your business, not just a rule.
We teach business owners and teams how to use AI on the work their business repeats. In our own business, Searchmaxxed, we built AI workflows for creating blog posts, doing SEO and preparing custom proposals.
Which local content tasks should you automate first?
Automate the repeated jobs that already have source material sitting behind them. AI workflow automation handles repetitive business tasks such as lead sorting, invoice logging and review responses, freeing your team for higher-value work. 12
Social captions are a good first job. AI can analyse a product photo and generate platform-specific captions for Instagram, Facebook and LinkedIn while matching your brand's voice and style. 3 Review replies are another. AI can draft personalised responses for positive and negative reviews using your preferred tone, then either publish them automatically or send them to a team member for approval before posting. 4
Pick a specific piece of work rather than a category. One quote from one site visit. One reply to one customer question. One weekly update for one property. Bring the information that task needs. Your business task determines the training example, so the job you choose decides what you practise on.
We helped automate Radiant Roof Repairs' internal processes using AI. We used AI to automate SEO, enquiries and admin for Glen House Homoeopathy. The same approach applies across trades, property and finance teams.
How do you write instructions the AI can repeat?
Write five inputs: Context, Task, Source, Rules and Output. Those five turn a repeated content job into instructions you can run again next week.
Context describes the business, the customer and the situation. Task names the job the AI assistant needs to do. Source supplies the notes, documents or approved facts for that job. Rules set the limits and identify the missing information you want flagged. Output describes the format and the information the finished draft needs to contain.
| Input | What it holds |
|---|---|
| Context | The business, the customer and the situation |
| Task | The job the AI assistant needs to do |
| Source | The notes, documents or approved facts for that job |
| Rules | The limits, and the missing information to flag |
| Output | The format and information the finished draft needs to contain |
Write the five before you paste in your material. They describe the job, and they give you a basis for judging the draft that comes back. We help you build and test a workflow you can use again.
What local evidence does the workflow need to draft from?
The workflow drafts from your own notes, templates and rules. Source supplies the notes, documents or approved facts for that job, so a quote draws on the site notes, measurements and price list you already hold, and a caption draws on the photo and the details of that job.
A worked example reads like this: we're a service business preparing a quote for a homeowner. Turn the supplied site notes into a draft quote. Use only these notes, measurements and the attached price list. Itemise labour and materials. Keep the supplied prices unchanged and flag missing information. Return a scope summary, an itemised table, a total including GST and questions for me to check.
Local detail lives in that source material. Suburb names, the access constraints on a job, your pricing, your warranty wording. Supply it, and the draft stays specific to your business. Leave it out, and you get generic text you have to rewrite.
How do you check AI content before it reaches a customer?
Check the output against the information your business supplied. Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays inside your scope. The person responsible for the work approves the final version.
When the draft makes a claim your source does not support, point to it. Supply the missing fact, or ask the assistant to leave it as a question for you. Check the next draft for the same problem.
In the workshop, participants test the workflow on a safe example and check the result against their source material. That test tells you whether the instructions hold before a customer ever sees a word of it.
How do you get your whole team using the same workflow?
Agree on three things as a team: the source material, the instructions and the review process for that task. We help your team settle all three, so two people running the same job produce drafts of the same quality.
Each person brings the laptop they will use afterwards. Tool and account requirements are confirmed during scoping, so nobody spends the session installing software or resetting a password.
Build workflows your team can use together, then keep the written instructions where everyone can reach them. When someone changes the price list or the tone rules, the source changes once and every draft follows.
Where can you get hands-on help building your first workflow?
Book private AI training at your workplace, or travel to the Sunshine Coast for our public workshop. You build on your own laptop with hands-on help, and you keep the instructions and the example you tested during the session.

Frequently asked questions
What is AI workflow automation?
Do you need technical skills to build AI content workflows?
How long does it take to set up an AI content workflow?
Less than an hour for a simple workflow using no-code automation tools. 18 More advanced workflows that connect multiple systems or need testing can take a few days to build and refine. 19 Results depend on the size of your company and the workflows you automate, and many small businesses see measurable time savings within weeks and recover their investment within a few months. 20
Which workflows beyond content are ready to automate?
Alerts, scheduling, expenses and cash flow. AI can notify your team when key events happen, such as a new lead entering the CRM, a completed project, a late invoice or a high-value order, with each alert going to the right person or channel. 2122 It can monitor appointments across your team's schedules, detect overlapping bookings and suggest alternative meeting times before a conflict reaches the customer. 23 It can read emailed receipts or phone photos, extract the vendor, purchase amount and date, then categorise the expense in your accounting software. 24 It can also monitor payment history, identify customers likely to pay late and generate short-term cash flow forecasts. 25
Who is the workshop for?
Business owners and teams. We teach them how to use AI on the work their business repeats.
What kind of content task should you bring?
Bring one repeated task that wastes your time and already has source material behind it, such as a quote, a customer reply or a weekly update. Your business task determines the training example, so the job you bring is the job you build the workflow for.
What does the A$495 workshop ticket include?
A$495 including GST per person covers four hours in person on the Sunshine Coast, hands-on help while you build on your own laptop, and the written AI workflow you build. You keep the instructions and the example you tested during the session.
When is the next Sunshine Coast workshop?
The date is to be announced, and the exact venue is confirmed with the date. Join the waitlist to hear first.
How many people are in each session?
The public workshop is capped at 15 paid attendees. Private sessions are scoped for roughly 4 to 20 people, and larger teams can be split across sessions.
Is this an online AI course?
No. We bring private AI training to your workplace, and private training takes place at the team's workplace. The public workshop runs in person on the Sunshine Coast.
How is this different from free AI tutorials?
We build the training around your business tasks, your source material and the output you need. Participants test the workflow on a safe example and check the result against their source material, so you leave with instructions that work on your own job.
Can you arrange private AI training for a team?
Yes. Send an enquiry, then we discuss your team's tasks, location and experience, agree on the scope and prepare a fixed quote. Private onsite AI training is available on the Sunshine Coast and in Brisbane, Gold Coast, Ipswich, Noosa, Moreton Bay, Logan, Redlands, Toowoomba and Gympie.
