Where is AI already showing up in NDIS enquiries, scheduling and admin?

It is already inside the systems your team opens every day. Team DSC reports that AI is increasingly built into the systems participants and providers rely on, from speech-to-text apps and scheduling platforms through to predictive analytics and documentation tools. 5 Team DSC also reports that providers use AI to draft and review reports, streamline note-taking and support personalised scheduling. 1 Participants use these tools to prepare for conversations, draft messages, brainstorm options and break routines and tasks into manageable steps. 6

The regulator uses it too. The NDIS Commission has integrated Microsoft 365 Copilot Chat to lift staff productivity 7 and has adopted a secure cloud-based contact platform to improve customer service. 8 That platform work includes categorising contacts by main topic or theme 9 and extracting entity names to identify relevant providers or workers. 10

So the question for your service is no longer whether AI reaches your enquiries, rosters and admin. It is whether your team has written instructions and a review step for the jobs where it already does.

Which repeated NDIS task should you bring to an AI workshop?

Bring one task that wastes your time and repeats. Your business task determines the training example, so the choice sets everything you build in the session.

Pick a specific piece of work rather than a category. A reply to one service enquiry. A scheduling message for one shift change. A draft progress report for one participant. Bring the information that task needs: the intake notes, the service list, the roster detail, the approved wording your team already uses.

If the job runs through several stages, choose the drafting step first. You can build the instructions for that step without connecting every system in your service. State which question the reply needs to answer, ask for the facts that resolve it, and cut background the reader did not request.

Choose an example that is safe to work with in a room. That usually means de-identified notes or a scenario your team has already published or approved.

How does an AI workshop turn one NDIS task into a workflow you can run again?

By writing the task down as five inputs and testing them on a real example. We help you build and test a workflow you can use again next week.

The five inputs are Context, Task, Source, Rules and Output.

• Context describes the business, customer and situation.
• Task names the job the AI assistant needs to do.
• Source supplies the notes, documents or approved facts for that job.
• Rules set the limits and identify missing information to flag.
• Output describes the format and information the finished draft needs to contain.

Write those five before you paste in your source material. They describe the job, and they give you the basis for judging the draft that comes back.

You build on your own laptop with hands-on help, so the instructions run on the tools you use at work. You keep the instructions and the example you tested during the session. That is the difference between a demonstration and a workflow your rostering officer can run on Monday.

How do you check an AI draft before it reaches a participant?

You check the output against the information your business supplied, and a named person approves it. In the session, participants test the workflow on a safe example and check the result against their source material.

Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the request and stays inside your scope. The person responsible for the work approves the final version before it goes to a participant, a family or a plan manager.

The regulator works the same way. The NDIS Commission uses Copilot to automate repetitive tasks, summarise documents, assist in drafting emails and reports and assist with data analysis, with staff responsible for reviewing and finalising content. 2 The Commission states it is not using AI in any way that members of the public may directly interact with, or be significantly impacted by, without a human intermediary or intervention. 11 It also states it does not use browser-based AI to make, automate or determine regulatory or compliance decisions. 12

Agree on those review rules as a team during the workshop, while the example is in front of you. A rule everyone helped write is a rule people follow.

What do NDIS obligations expect when your team uses AI?

Existing law and existing NDIS expectations already apply to the way your team drafts with AI. Team DSC reports that Australia does not yet have AI-specific laws 3 and that the Productivity Commission has said these tech-neutral laws already cover AI use. 13 Providers must protect personal information under the Privacy Act, avoid misleading or unfair practices under consumer law, and ensure AI systems do not discriminate on the basis of race, sex or disability. 14

Inside the scheme, the Act, Code of Conduct and Practice Standards set expectations of fairness, transparency and respect for privacy, dignity and autonomy. 15 Team DSC reports these apply equally to AI use, for example by requiring providers to tell participants when AI is being used, safeguard sensitive data, and ensure automation does not reduce informed choice or dignity of risk. 4 The NDIS Framework for AI-Enabled Assistive Technology adds a further layer 16 and makes clear that AI tools used as assistive technology should be safe, high-quality and effective, so they deliver real benefits for participants. 17

The Commission states it is committed to using AI in a safe, responsible and transparent way 18 and that it will adhere to the Digital Transformation Agency's Policy for the Responsible Use of AI in Government (Version 2.0) for safe and ethical AI governance. 19 20 That commitment covers strategic adoption, operationalising responsible practices, clear accountability and risk-based oversight. 19

Written instructions, a named source of truth and a named approver give you something to show when someone asks how a draft was produced.
