AI Workshops for Dental Practices: Build a Checked Workflow for Booking Enquiries

Hands-on Sunshine Coast workshop. Four hours, A$495 including GST, capped at 15.

A friendly pencil-drawn robot with a soft rounded body and warm expression welcomes you beside working papers and a yellow pencil.

Your front desk answers the same booking enquiry a dozen times a week. Each reply needs the right opening hours, the right item numbers, the right wait time for a new patient appointment. An AI workshop for a dental practice trains your team on one repeated job, such as replying to booking enquiries, using the practice's own source material, and you keep the instructions and the example you tested. We build training around your business tasks, source material and the output you need. We work with business owners and teams across industries. You can also travel to the Sunshine Coast for our public workshop.

Key takeaways

  • Bring one repeated communication task, such as a reply to a booking enquiry, and the information the practice already uses to answer it. Your business task determines the training example.
  • The five inputs, Context, Task, Source, Rules and Output, turn that enquiry reply into written instructions the practice can run again.
  • Every draft is checked against the information the practice supplied, and the person responsible for the message approves it before a patient sees it.
  • The public Sunshine Coast workshop runs four hours at A$495 including GST per person with a maximum of 15 paid attendees. Private training runs at your practice instead.
  • Private training is quoted after a conversation about the team's tasks, location and experience, so there is no fixed team price to compare upfront.

What does an AI workshop for a dental practice cover?

It covers one repeated job in your practice, worked end to end. We teach business owners and teams how to use AI on the work their business repeats. For a dental practice, that work is usually written: the reply to a booking enquiry, the recall message, the pre-appointment instructions, the quote follow-up.

The subject matter sits close to what dental continuing education already treats as an AI topic. Generative AI in dentistry is taught with an emphasis on patient communication and dental education. 1 AI is also being applied in patient management systems. 2 Our session stays on the communication and admin side, built from your own notes, templates and rules.

Which repeated practice task should you bring to the workshop?

Bring one task that wastes your time and repeats every week. Your business task determines the training example, so the workflow you leave with is the one your practice actually runs.

Pick something specific: the reply to one new patient enquiry, the recall message for one treatment type, the pre-visit instructions for one procedure. Bring the information needed for that task. Your fee list, your opening hours, your standard wording, your rules about what the practice will and will not say in writing.

If the job runs through several stages, choose the drafting step first. You can build the instructions for that step without connecting every system in the practice. We help your team agree on the source material, instructions and review process for that repeated task.

How do the five inputs turn a booking enquiry into a draft your front desk can check?

The five inputs are Context, Task, Source, Rules and Output. Written together, they describe the enquiry reply well enough that the assistant produces the same shape of draft each time, and well enough that your front desk can check it.

  • Context describes the business, customer and situation. Your practice, the patient who sent the enquiry, what they asked for.
  • Task names the job the AI assistant needs to do. Draft a reply to this booking enquiry.
  • Source supplies the notes, documents or approved facts for that job. Your hours, your fees, your appointment types, your approved wording.
  • Rules set the limits and identify missing information to flag. What the reply must not state, and what the assistant should mark as unknown rather than guess.
  • Output describes the format and information the finished draft needs to contain. Length, tone, the questions the reply has to answer, the next step for the patient.

We help you build and test that workflow so you can use it again on the next enquiry.

How does your practice check the draft before it reaches a patient?

You check the output against the information your practice supplied. Nothing goes to a patient on the assistant's word.

Compare names, dates, figures and claims with your source. Recalculate totals. Check that the draft answers the question the patient asked and stays within your scope. The person responsible for the message approves the final version. Hallucinations are a known pitfall when large language models are used in patient interactions and clinical workflows. 3 Ethical considerations in AI implementation are part of how the subject is taught. 4

In the session, participants test the workflow on a safe example and check the result against their source material. Your team agrees the review rules while the workflow is being built, not after a draft has already gone out.

Should your practice book the public workshop or private training at the clinic?

Book the public workshop for one or two people from the practice. Book private training when you want the whole front desk building the same workflow together.

Our public Sunshine Coast workshop gives you four hours to work on one repeated business task. You build on your own laptop with hands-on help, and you keep the instructions and the example you tested during the session.

Sunshine Coast onsite training covers Maroochydore, Caloundra, Mooloolaba, Buderim, Birtinya, Nambour and Coolum. We scope private training around your team's tasks, experience and location. Team size, session length and travel determine the price, so request a team quote for your practice.

People from other areas can travel to the Sunshine Coast public workshop.

How does this compare with clinical AI courses for dentists?

Clinical AI courses teach the clinical side. Ours teaches the workflow your practice runs on paper and email.

The Harvard School of Dental Medicine runs a live online course introducing dental professionals to the growing role of artificial intelligence in dental medicine. 5 It starts with the fundamentals of AI and machine learning in dental and medical contexts. 6 It then examines practical applications in diagnostics, treatment planning, patient management, risk assessment and outcomes prediction. 7 Participants explore practical applications in clinical practice. 8 One module covers AI in precision dentistry and prognostic modelling for patient-specific treatment planning. 9 Participants gain insight into AI-driven risk assessments and predictive analytics and their role in improving long-term treatment outcomes. 10 On completion, participants receive a verified certificate of completion from Harvard School of Dental Medicine Executive Education. 11 That program is not accredited by any national or local accreditation body. 12

Catapult Education, LLC is an ADA CERP Recognized Provider. 13 ADA CERP is a service of the American Dental Association that helps dental professionals identify quality providers of continuing dental education. 14 ADA CERP does not approve or endorse individual courses or instructors, and does not imply acceptance of credit hours by boards of dentistry. 15 Catapult Education received commercial support from Patient Prism for its AI event. 16

We do not teach diagnostics or treatment planning. We build business workflows. We helped automate Radiant Roof Repairs' internal processes using AI. In our own business, Searchmaxxed, we built AI workflows for creating blog posts, doing SEO and preparing custom proposals. We used AI to automate SEO, enquiries and admin for Glen House Homoeopathy. The same method applies to a booking enquiry reply at your front desk. You can see how it plays out in other industries we work with.

What does published research say about AI in dental practices?

Adoption is early. Adoption of artificial intelligence in dentistry is still in its early stages. 17 In a survey of dental professionals, 90 participants had already implemented artificial intelligence in their dental practice. 18 A large number of participants, 130, believe artificial intelligence will be the future of dental practice. 19 Future expectations covered participants' opinions on the future role of artificial intelligence in dental practice. 20

The survey questions were formulated in multiple-choice and Likert scale formats. 21 The questionnaire was reviewed by experts in dental research and artificial intelligence to ensure content validity. 22 A pilot survey with 10 dental professionals tested clarity and relevance, after which minor adjustments were made. 23 Inclusion required a minimum of 2 years of experience in clinical dental practice. 24

How does your practice book AI training?

Send an enquiry, then we talk. After your enquiry, we discuss your team's tasks, location and experience. We agree on the training scope and prepare a fixed quote. Team size, session length and travel determine the price, so a fixed quote follows that conversation rather than a published team rate.

Frequently asked questions

Who in a dental practice is this workshop for?

Practice owners, practice managers and the front desk team who handle repeated written work. We teach business owners and teams how to use AI on the work their business repeats. Your business task determines the training example, so the person who writes the enquiry replies gets the most out of the session.

Does your team need technical experience?

No. You build on your own laptop with hands-on help. Participants test the workflow on a safe example and check the result against their source material.

What should you bring to the session?

Bring the laptop you will use afterwards, its charger and a safe task example. Bring the notes, documents or approved facts for that job, because Source supplies them to the assistant. Tool and account requirements are confirmed during scoping.

What kind of practice task should you bring?

Bring one repeated task with a clear job attached to it, such as drafting a reply to a booking enquiry. Task names the job the AI assistant needs to do, so the more specific the job, the more precise the instructions. We help your team agree on the source material, instructions and review process for that task.

What does the A$495 workshop ticket include?

A$495 including GST per person covers four hours of in-person work on one repeated business task on the Sunshine Coast. You get hands-on help, and you keep the instructions and the example you tested during the session.
